Font Embedding: How to embed TrueType fonts into Microsoft Office documents

How do I best share a font used in a Microsoft Word or PowerPoint file?

The license which covers fonts you purchase from FontMarketplace allows you to install the fonts on a defined number of personal computers. You cannot further distribute or share the fonts with other by sending them the TrueType font files or posting them to a website. So if you want to share a font with your friends or co-workers there are two simple solutions:

1) Tell your friend to visit FontMarketplace and buy a copy for themselves.
This option will let your friend or co-worker have the font permanently installed on their computer so they can create and edit documents with the desired font.

2) Embed the font into the document you are creating.
This option is best when you simply want recipients of your document to be able to see your fonts when they view, print and possibly edit the document which you are sharing with them.

"Font embedding" is the technique used to save a copy of the font inside the document, such as an Adobe Acrobat PDF file, or a Microsoft Word or PowerPoint file. All TrueType fonts on the FontMarketplace website are set to allow embedding into documents in both view & print, and editable permissions.

The process of embedding fonts into a document are different with each application. Below is a summary of different techniques for Microsoft Office. We recommend that you consult the help manual for any other software applications to determine the extent to which font embedding is supported.

Microsoft Office Word 2003
1. From the File menu, click Save As.
2. On the toolbar, click Tools, then Save Options. Select the "Embed TrueType Fonts" check box. Two options:
* Select "Embed characters in use only" (best for reducing file size when the file will not be further edited).
* Select "Do not embed common system fonts" (will increase the file size).

Microsoft Office Word 2007
1. Click the Microsoft Office Button, and then click Save As.
2. Click on the Tools button, then Save Options.
3. Select the box "Embed fonts in the file".
- optional: Select "Embed only the characters used in the document (best for reducing file size). This option is best when the file will not be further edited.
- optional: Select "Do not embed common system fonts"
 

Microsoft Office PowerPoint 2003
1. From the File menu, click Save As.
2. On the toolbar, click Tools, then Save Options. Select the "Embed TrueType Fonts" check box. Two options:
* To embed only those characters used in the presentation, select "Embed characters in use only (best for reducing file size)".
* To embed all the characters in the font set, select "Embed all characters (best for editing by others)".

Microsoft Office PowerPoint 2007
1. Click the Microsoft Office Button, and then click Save As.
2. Click on the Tools button, then Save Options.
3. Select the box "Embed fonts in the file".
- optional: Select "Embed only the characters used in the document (best for reducing file size). This option is best when the file will not be further edited.
- optional: Select "Do not embed common system fonts"
 

Microsoft Office Publisher 2003
1. On the Tools menu, select Commercial Printing Tools, and then select Fonts.
2. In the Fonts dialog box, select the "Embed TrueType fonts when saving publication" option.

Microsoft Office Publisher 2007
1. On the Tools menu, point to Commercial Printing Tools, and then click Fonts.
2. In the Fonts dialog box, select the "Embed TrueType fonts when saving publication" check box.
3. Optional: To embed system fonts, clear the "Do not embed common system fonts" check box. This option will increase the file size.
